  • ICT is the main driver of the new Digital Economy and information its new currency!

The Global Information Technology (GIT) report 2016, states that “Information Communication Technology (ICT) is the backbone of the fourth industrial revolution”, with the future of businesses depending more than ever on whether they embrace digital technologies.

    State of Digital Technologies

The rapid expansion of the IoT has pushed the use of digital technologies within businesses to new horizons. Originally information was isolated to mostly paper and certain technology like the computer or storage media (CD’s, USB,s).

Now with the exponential advances of technology (hardware/software), core operating systems have been placed to record, monitor and control the required information; giving better sharing and access capabilities. Nevertheless, this has not eliminated the production of physical documents. On the contrary, presently most organizations are faced with the challenge of having to manage both information environments.

This observed shift requires ICT to finds ways for connecting the two environments under a single, centralized and enterprise wide information sharing platform. Such solutions are provided by niche records and information management companies that provide the knowhow and technological capabilities required to fill the digital and physical divide.

    Data extraction and systems integration

These are the two areas that ICT needs to focus on to fill the digital and physical divide. Since data can be sourced from both paper and operating or legacy systems, ICT needs to finds ways for linking the two. Industry shows that the best way of linking is by eliminated the use of one information environment. Obviously, that would be the physical. As physical records are only kept for compliance purposes, the first step should be to implement an all-digital strategy for both backlog and ongoing records. That will make all information available in electronic form.

The next step would be to link the data extracted from paper to the data residing in the operating systems. This is where the ICT needs the help of a records and information management service provider. It is not enough to know how a system works. For this digital environment to work effectively one needs to understand the type of information residing in each document type and its use in each respective business process. In addition the two environments will only be successfully linked with the correct use of metadata. These electronic indexing fields are what tie the data extracted from the physical document to that residing in the operating system.

    ECM for Business Process Optimization

This is where working digital really pays off. Workflows capabilities remove the need of physical transfer of documents from office to office, for review and approval. As all information is now electronically stored in a centralized repository (ECM), that is integrated with core business applications (HR soft. SAP, CRM etc), once manual based processes like invoice processing, recruitment, contract renewal, policy, KYC, claims, auditing and many more, become streamlined processes that take place with the click of a button.  This results in saving thousands of man-hours per month previously spend on manual compliance checks, document sorting and information acquisition.

Instead everyone has instant access to what they need, anywhere, anytime; with automatic workflows designed to carry that procedure seamlessly.
